Privacy Policy

Last updated: 9 October 2026

This notice explains how Richard Mason Personal Training (RMPT), run by Richard Mason, collects and uses your personal information. Richard Mason is the data controller for the information described below.

Contact details

Email: rich@rmpt.uk
Location: Ebbw Vale, South Wales

Information I may collect

  • Your name, email address, telephone number and contact preferences.
  • Information you include in an enquiry or consultation.
  • Your goals, training history, nutrition preferences, progress, check-ins and coaching records.
  • Relevant health, injury or medical information that you choose to provide so that coaching can be delivered more safely.
  • Progress photographs, measurements or exercise videos where you choose to provide them.
  • Payment records such as the amount, date and payment reference. I do not intentionally store full payment-card details.

How I use your information

I use personal information to:

  • reply to enquiries and discuss whether a service is suitable;
  • set up and deliver personal training or coaching;
  • create and adjust training and nutrition guidance;
  • manage bookings, payments, records and client support;
  • protect the safety, security and legal interests of RMPT and its clients; and
  • meet tax, accounting and other legal obligations.

The lawful bases relied on will usually be taking steps before a contract, performing a contract, complying with a legal obligation, or RMPT's legitimate interests in running and protecting the business.

Health information and photographs

Health information receives additional protection under UK data protection law. Where it is necessary to use health information for coaching, I will normally ask for your explicit consent. You may withdraw that consent, although this may mean I cannot safely continue providing some services.

Progress photographs, testimonials or videos will not be used for public marketing without separate permission. Withdrawing permission stops future use and I will remove existing material where reasonably possible.

Who information may be shared with

Information may be handled by trusted providers used to operate RMPT, such as email, messaging, cloud storage, payment or professional advisers. Only the information reasonably needed for that purpose is shared. Information may also be disclosed where required by law or to protect someone from serious harm. RMPT does not sell personal information.

Some providers may process information outside the UK. Where this happens, RMPT relies on the safeguards required by UK data protection law.

How long information is kept

Enquiries that do not become clients are normally kept for no longer than 12 months. Client, transaction and coaching records may normally be kept for up to six years after services end where needed for tax, legal or dispute purposes. Health information, photographs and videos are reviewed and deleted when they are no longer necessary for the purpose for which they were collected.

Your rights

Depending on the circumstances, you may have the right to access, correct, erase, restrict or object to the use of your information, and to receive certain information in a portable format. Where processing relies on consent, you can withdraw it at any time.

To exercise a right or raise a concern, email rich@rmpt.uk. You can also complain to the Information Commissioner's Office.
